Do I need WhatsApp Business or the WhatsApp Business API to send invoices?

No. For invoicing people you teach or coach one-to-one, the WhatsApp already on your phone is enough. The free WhatsApp Business app adds labels, quick replies and away messages, but it cannot make an invoice or tell you who has paid. The Business API is for companies sending automated messages at volume — the wrong tool for one person.

Three different things are called “WhatsApp Business”

Most of the confusion comes from one name covering three products. Only one of them costs money, and none of them makes an invoice.

ProductWhat it isCostMakes invoices?Who presses send
WhatsAppThe app you already use, on your own numberFreeNo, but it carries the PDF and the pay link you attachYou, by hand
WhatsApp Business appA separate free app from the same company: business profile, catalogue, labels, quick replies, greeting and away messagesFree (Meta Verified and ads are optional paid extras)No. Labels can mark a chat “pending”, but nothing creates, numbers or totals an invoiceYou, by hand
WhatsApp Business Platform (the API)Meta's platform for software to send messages: pre-approved templates, usually through a Business Solution ProviderCharged per delivered template message, plus the provider's planNo. It sends whatever another system hands itA system, automatically

An invoice on WhatsApp is a PDF and a UPI pay link inside a message. Any of the three can carry that message. Making the invoice happens somewhere else: a template, an invoicing app, or the free manual method in how to send an invoice on WhatsApp with a UPI payment link.

Why every answer you find says “get WhatsApp Business”

Search the question and the guides that rank are written by GST billing software for shops and MSMEs, or by the companies that resell the Business API. For a shop, “recommended” is fair: a catalogue of products, a greeting message for walk-in enquiries and a support queue are what the Business app was built for. For an API reseller, the answer is the product they sell.

A trainer's situation is different. Your twenty clients are not enquiries. They are people who already have your number saved and already chat with you about batch timings, and the invoice is one more message in a conversation that exists. You are not trying to reach more people. You are trying to get the ones you already see every morning to pay on the 5th without a confrontation. None of the three products is built around that problem.

What the free WhatsApp Business app is actually good for

If you want it, it is a reasonable app, and a few features help with fees:

And here is what it does not do, which is why it does not answer the invoicing question. It does not create or number an invoice, it does not put an amount-filled UPI link in the message, and it cannot see your bank account, so a “Paid” label is only true if you checked the credit and moved the label yourself. On the 5th of the month it will not tell you which eight of twenty-four people have not paid. The label is a sticky note you keep by hand.

Switching is low-risk if you decide to. WhatsApp Business registers with the same phone number and offers to restore your existing chats from backup during setup. A number can only be active in one of the two apps on a phone at a time.

What the Business API is, and what it would cost you

The WhatsApp Business Platform, which everyone calls the API, is how software sends WhatsApp messages without a person. Meta charges per delivered template message. Templates have to be approved in advance, and replies to a client who messaged you in the last 24 hours are free. Most small businesses reach it through a Business Solution Provider such as AiSensy, Wati or Interakt, which charges its own plan on top.

The per-message fee is the part people fear, and for a trainer it is the smallest part. Take a roster of 24 clients, each sent one invoice and up to three reminders a month: at most 96 messages. At the ₹0.145 per utility message AiSensy listed on its pricing page on 25 September 2026, that is about ₹14 a month before GST.

The costs that matter are the other three:

The shortcut that costs you your number

Between the free app and the paid API sits a third option that gets advertised everywhere: bulk-sender Chrome extensions, “WhatsApp marketing” desktop tools and modified WhatsApp apps that send one message to a pasted list of numbers. Do not use them for fees, or for anything else. They reach WhatsApp through unofficial means, which breaks WhatsApp's terms, and the penalty is a banned number. For a shop that is an inconvenience. For a trainer, the banned number is the one twenty clients and three batch groups have saved, and your whole business is reached through it.

The legitimate bulk tool is the broadcast list, built into both apps. Each person receives the message in their own chat, it reaches up to 256 people, and only those who have saved your number. It is right for “no class on Monday, Diwali”. It is wrong for fees: each person owes a different amount for a different pack, most of them have already paid, and a reminder sent to people who have paid reads as an accusation. And never chase a fee in the batch WhatsApp group, for the reason set out in how to tell your students you are raising the fees: one person's reaction becomes everybody's.

Who this applies to, and who it doesn't

If you teach, coach, tutor or shoot, and the people who pay you already have your number saved, keep the WhatsApp you have. Put the effort into a proper invoice and a UPI pay link rather than into changing apps. Switch to the free Business app if labels or a second number would help you, but not because a guide said invoicing requires it.

If you sell products and field enquiries from strangers, a boutique, a home bakery or a supplement counter alongside your classes, the Business app's catalogue and greeting message earn their keep, and an inventory billing app fits better than anything built for a roster. Our Vyapar alternative page says plainly where Vyapar is the better buy.

If you run a studio with staff, hundreds of members and payment confirmations that should go out without anyone touching them, the API is the right tool and the per-message cost above is trivial at your scale. Look at studio management software that runs it for you; our comparison hub sets out where practice-management platforms such as Fitqii fit.

What Croodit does here, and what it does not

Croodit is a WhatsApp invoicing and UPI payment-tracking app for solo service providers in India. It does the part none of the three products does: pick a client, tap the packages they bought, and Croodit writes a numbered invoice and opens WhatsApp with the message, the invoice PDF link and a UPI pay link already in place. You press send yourself, from your own number.

It uses no WhatsApp Business API, no bot and no bulk sending, and it cannot read your chats. Reminders on day 3, 7 and 10 are notifications to you with the message drafted, so nothing ever reaches a client by itself. It is not a payment gateway: money goes from your client's UPI app to your own UPI ID, and Croodit takes no cut. Because it tracks every invoice as paid, pending or overdue, the list of who owes you on the 5th is the one thing it produces that a “Fee pending” label cannot.

Free forever for up to 7 clients, with unlimited invoices and unlimited reminders to them and no card needed. Croodit Pro lifts that to unlimited clients at ₹199 a month or ₹1,599 a year, after a 14-day free trial. Croodit is live on Google Play for Android; the iPhone app comes later.

Questions people ask about WhatsApp Business and invoicing

I teach two Zumba batches and everyone pays me on my personal WhatsApp number. Do I need to switch to WhatsApp Business before I start sending invoices?

No. An invoice is a PDF and a UPI pay link inside a message, and ordinary WhatsApp sends both from the number your students already have saved. Switching gains you labels, quick replies and an away message, all useful and none of them an invoice. If you do switch later, WhatsApp Business uses the same number and offers to restore your chats from backup, so it is not a decision you have to make before you invoice.

Will my clients take the invoice less seriously if it comes from my personal WhatsApp instead of a business account?

Your clients judge the document, not the app it came from. A numbered invoice with your name, what it is for, a due date and a pay link that fills in the amount looks like a bill. “₹2,500 for this month 🙏” looks like a favour, and it looks like one from a business account too. The green badge people associate with “official” is Meta Verified, a paid subscription, and a student paying you for a yoga pack has never checked for it.

Should I get a second SIM just for my classes?

Only if you want the separation for your own sake: family chats and fee chats on different numbers, or an away message after 8pm. It costs you the thing that makes a trainer's reminders work, which is that the message arrives in the chat the person already talks to you in. If you do it, tell every client the new number yourself, because WhatsApp broadcast lists only reach people who have saved your number.

What does the WhatsApp Business API actually cost for someone with 24 clients?

Less than you would guess in message fees. One invoice and up to three reminders to 24 people is at most 96 messages a month. At the ₹0.145 per utility message one Indian provider, AiSensy, listed on 25 September 2026, that comes to about ₹14 before GST. The rest is the problem: the provider's own plan on top, templates approved in advance, opt-in from each client, and a number that, registered directly, can no longer be used in the WhatsApp app.

Is there any safe way to send the same fee reminder to all my students at once?

A broadcast list is the safe version: it is built into WhatsApp, each person receives it privately, and it reaches up to 256 people who have saved your number. But a fee reminder is the wrong message for it. Each person owes a different amount for a different pack, and most of them have already paid. Never use a bulk-sender extension or a modified WhatsApp app for this. Unofficial automation breaks WhatsApp's terms, and a banned number is the one every client has saved.

Does Croodit use the WhatsApp Business API?

No. Croodit writes the invoice and the message, then hands them to the WhatsApp on your phone, where you read them and press send yourself. It has no API account, no bot and no template approvals, and it cannot read your chats. Reminders on day 3, 7 and 10 are notifications to you, not messages to your client. Croodit is free forever for up to 7 clients, and it is live on Android through Google Play, with the iPhone app to follow.

WhatsApp features, Meta's pricing and provider prices are as they stood on 25 September 2026. Per-message rates in particular change often, so check the current rate card before you budget against it.
